“Can I change the size?” “I typed the wrong house number.” “Please add one more.” Every WooCommerce store gets these emails right after an order is placed, and each one costs time: finding the order, changing it, recalculating, refunding or asking for more money. This guide explains what WooCommerce allows out of the box, what a good self service setup looks like, and how to let customers fix their own orders safely.
Why customers want to change orders
- Wrong option: the wrong size, colour or flavour.
- Address mistakes: a typo in the street, a missing flat number, or a new delivery address.
- Quantity changes: one more of something, or one less.
- Forgotten items: the shopper remembers something right after checkout and would rather add it than place a second order.
- A change of mind: they want to cancel before anything ships.
Each of these is easy to fix in the first hour and expensive to fix after the parcel ships. If the customer cannot fix it themselves, many simply cancel or refuse delivery.
What WooCommerce does by default
Out of the box, customers cannot change an order after checkout. In My account they can pay an unpaid order and, in some cases, cancel an order that is still waiting for payment. Everything else goes through you.
On the admin side, WooCommerce lets you edit the items of an order only while it is Pending payment or On hold. Once an order is Processing, the items are locked. To change a paid order you refund lines by hand, create a new order for added items and ask the customer to pay it, and keep stock correct yourself. It works, but it is slow and easy to get wrong.
What a good self service setup needs
Letting customers edit orders only helps if it cannot cause new problems. These are the rules that matter:
A clear time window
Editing should stop before you start packing. A window such as 60 minutes after the order, a live countdown on the order page, and automatic locking once the order is completed or has a tracking number keeps everyone on the same page.
Totals and stock that stay right
When a quantity goes from 3 to 2, one item should go back to stock and the total should drop. Products already in the order should keep the price the customer paid, coupons should be recalculated by WooCommerce, and shipping costs should update from your shipping zones when the address or the items change.
Money handled for paid orders
If the new total is lower, the difference should go back through the original payment method automatically. If it is higher, the customer should pay the difference first, and the change should only apply once that payment arrives. For cash on delivery, the amount the courier collects simply changes.
Cancellations you control
Some stores want instant cancellation with an automatic refund. Others want to approve each request first. Either way, asking for a reason tells you why orders are being cancelled.
A record of every change
You should get an email listing what changed, the change list should be saved in the order notes, and the orders list should show which orders were edited. Putting edited orders On hold lets you check them before they ship.
Tips before you switch it on
- Start with a short window. 30 to 60 minutes covers most mistakes and still leaves time to pack.
- Lock the shipping country and postcode if your taxes or shipping rates depend on them, and let customers fix the rest of the address.
- Exclude products you cannot change, such as made to order or personalised items.
- Add the edit link to the order email and the thank you page, so customers find it at the moment they notice a mistake.
- Offer an “All good, no changes needed” button. Customers who press it let you ship sooner.
Set it up with Edit Order for WooCommerce
Edit Order for WooCommerce lets customers change their own orders from My account, within the rules you set. The free version covers:
- Quantities, removing products and adding products from a search box, with stock checked first, on unpaid orders.
- Switching a product’s option, such as size or colour, to another one in stock.
- Billing and shipping address field by field, the delivery option with real costs from your shipping zones, the payment method of an unpaid order and the order note.
- Cancellation with a reason, approved by you or instant with an automatic refund.
- Lower totals refunded through the payment method, higher totals paid separately before the change applies.
- A time window with a countdown, editable statuses and roles, locking after completion or tracking, seven WooCommerce emails and a full change history on the order.
The Pro add-on lets customers add, remove and change quantities in orders they already paid, adds approval of edits before they apply, rules per customer and role, a daily cut-off time, store credit refunds, edit and cancellation fees, coupons and custom checkout fields, and reports.
Frequently asked questions
Can guests edit their orders too?
Yes. Guest orders get a secure link in the order email and on the thank you page. The guest confirms the billing email once, then can edit or cancel that one order.
What happens if my team changes the order at the same time?
The customer is asked to review the order again before saving, so their edit does not overwrite your change.
Does it work with HPOS and the Checkout block?
Yes. It uses WooCommerce’s own order functions and supports High Performance Order Storage and the Cart and Checkout blocks.
